Medical Billing Software Built Around Your Practice
Billing software shaped around your practice: charges, claims, eligibility checks and patient payments, linked to your EHR.

Billing software built for
Custom Billing Modules
Charge capture and coding-support screens shaped around your specialties.
Claims Workflow Tools
Preparation checks, submission tracking and denial worklists, kept visible.
Eligibility Before the Visit
Coverage checks and cost estimates drawn from the appointment itself.
Patient Payments & Plans
Readable statements, payment plans and card payments reconciled to the ledger.
A Billing Software Team, Not a Billing Company
The same team that builds your billing modules also builds patient portals, intake tools and front-desk software, so charges, eligibility and payments sit in one working system instead of separate silos. We build the software only. Your team, or the billing partner you already use, runs the billing in tools shaped around how your practice actually bills.
- Billing software only. We do not submit claims or chase payers.
- Modules shaped around your specialties, fee schedules and workflow.
- EHR and clearinghouse connections checked before we quote.
- Role-based access for your team and any outside biller.

Billing software has a harder job
Billing touches every part of a practice: the schedule, the chart, the payer and the patient. When the tools do not fit, the work falls back on staff, spreadsheets and re-keying, day after day.
It has to follow the charge
A charge moves from appointment to payment through several systems, and every re-key risks an error.
It has to keep claims visible
A rejected claim buried in an inbox stays unpaid, while a visible worklist gives it an owner.
It has to fit your workflow
A generic ledger forces staff into workarounds. Software shaped around your specialties fits the work instead.
It has to be clear to patients
A bill patients cannot read creates calls, delays and distrust, long after the visit itself.
If any of that sounds familiar, the problem is rarely your billers. It is the gap between how you bill and what your software supports.

Billing Modules Built Around Your Practice
Custom modules shaped around your services, providers and fee schedules, built as code your practice owns. This is billing software development without the one-size subscription: no workflow forced into a generic ledger, and no charge capture screen your billers have to fight every day.
- Charge capture, superbill and encounter views by specialty
- Coding-support screens shaped around your fee schedules
- Ledger views your billers can read at a glance
- Claim preparation checks that catch common errors early
- Denial worklists that turn rejections into assigned tasks
Already using a billing partner? Your in-house team or outside biller works in the software we build, with access limited to their role, and their activity in the same audit log as your own staff's.

Built to Connect, Not to Strand Your Data
Billing software earns its keep in the joins: charges that arrive from the schedule instead of being re-typed, payments that post themselves. What a connection looks like depends on what your current systems expose, and we establish that before quoting, not after.
- Two-way sync of demographics, appointments and charges with your EHR
- HL7 and FHIR interfaces where supported, structured file exchange where not
- Clearinghouse connections for claims and remittance, using your existing accounts
- Card payments reconciled back to the ledger automatically
- Patient portals, statements, balances and payment plans where patients already log in. Patient portal development
- HIPAA compliance consulting, a separate review of the safeguards on the billing data your software holds. HIPAA compliance consulting
- Healthcare automation, reminders and follow-up workflows around the billing cycle, agreed during discovery. Healthcare automation
From Workflow Audit to Working Software
A clear process, with written deliverables at every step. We start from your workflow, not a feature list, and no live data moves until integrations have been tested.
01Billing Workflow Audit
We follow a charge from appointment to payment in your current setup and mark every re-key, workaround and dead end.
02Scope & Integration Plan
Modules, integrations and any data migration agreed in writing, including what your EHR and clearinghouse actually support before we build.
03Build in Phases
Core ledger and charge capture first, then claims tooling, eligibility and patient payments, each phase usable before the next starts.
04Connect & Test
Integrations connected and exercised with test transactions in the test modes your EHR and clearinghouse provide, before live data moves.
05Train & Hand Over
Your team, and any outside biller, trained on the workflows, with documentation written for the people who will actually use it.

Eligibility Before the Visit, Payments Patients Understand
Coverage checks before the visit and cost estimates drawn from the appointment itself mean fewer surprises at the front desk. Patient statements, balances and payment plans can surface in your portal, with card payments reconciled back to the ledger automatically, so staff stop re-keying payment confirmations. Estimates use the appointment, the provider and the coverage on file, not a generic price list.
- Coverage checks before the visit, not after
- Patient cost estimates drawn from the appointment
- Readable statements, balances and payment plans in the portal
- Card payments reconciled back automatically
Working the claims stays with your team or billing partner. The software supports that work: preparation checks, tracking and denial worklists, so nothing stays invisible. Your billing partner works in the same tools, with the same visibility, and nothing stays in a separate spreadsheet.
Your Billers Keep the Expertise. We Remove the Workarounds.
If you want a company to take billing off your desk entirely, that is a revenue cycle management service, a different business, and not this one. Practices come to us when the tool is the problem: charges re-keyed between systems, denials tracked in a spreadsheet, patient payments in a separate silo.
The patient-facing side connects through your portal, so statements and payment plans live where patients already log in. A wider build can sit alongside it: our healthcare software development service covers the portals and tools behind billing, and our HIPAA compliance consulting reviews the safeguards on the data they hold.
The standard we build to
- Charge capture shaped around your specialties and fee schedules
- Claims workflow tools with preparation checks and tracking
- Eligibility checks and estimates before the visit
- Patient statements, plans and payments patients can read
- EHR and clearinghouse connections checked before quoting
- Role-based access and audit logging for every user

Your Team Trained, Your Workflows Documented
A build is only finished when your billers can use it without us. Training covers your team and any outside biller, with documentation written for the people who will actually use the workflows day to day, not for a shelf.
- Training for your team and any outside biller
- Workflow documentation written for daily use
- Phased handover, each module usable before the next starts
- Access limited by role, for staff and billing partners
Software changes, and so do fee schedules, payers and workflows. A phased build means new modules can be added without rebuilding the ledger.
Security & Privacy
Security, privacy and HIPAA: explained plainly
Billing records contain patient information, so they get the same treatment as clinical data. No honest developer should sell you a badge, and no software is compliant on its own: compliance depends on how information is handled.
Here is how we approach it in practice:
- Billing forms and workflows are designed so that only the information a task needs is collected, and patient information is never asked for in a general contact form. Access is limited by role, so a billing partner sees only the practices and functions they are engaged for.
- Any part of a build that will handle protected health information is scoped separately: encryption in transit and at rest, access controls, audit logging, appropriate hosting, and Business Associate Agreements with the vendors involved where the work requires them. Partner activity sits in the same audit log.
- Tracking tools need care where billing data is involved. The US Department of Health and Human Services has published guidance on how HIPAA applies to online tracking technologies. We review analytics and advertising tags against that guidance with you before launch, rather than installing them by default.
For more detail, read how we approach HIPAA across our work.

We also build for independent doctors and physicians, telehealth and virtual care providers, hospitals and specialty centers, and healthcare startups that need billing tools which can grow into a wider platform. Dental practices can go further with our patient portal service, where statements and payment plans live.
Custom build or subscription? An honest comparison
| Question | Subscription billing product | Custom build with MedClinicX |
|---|---|---|
| Cost at the start | Lower, then monthly | Higher, scoped in writing |
| Launch speed | Faster for a standard setup | Slower: modules are built to order |
| Fit to your workflow | Your workflow adapts to the product | Built around how you actually bill |
| EHR and clearinghouse connections | Limited to available integrations | Built around your actual systems |
| Claims and denial visibility | Varies by product | Preparation checks, tracking and worklists |
| Best for | A practice that needs a standard tool quickly | Practices where billing tools must fit their workflow |
If a subscription is genuinely the right answer for your stage, we will tell you.
What affects the price of billing software?
We quote per project after the workflow audit, because the honest drivers of cost are knowable only after we see how you bill.
Two ways to work with us: a fixed-scope project with defined deliverables and a defined price, or a phased build that launches the core ledger first and adds modules in later phases, each priced separately.
Get a Written Quote for Your BuildWhat moves a quote
- Number of billing modules in scope
- Number and openness of EHR and clearinghouse integrations
- One location, or several locations with shared billing
- Amount of historical data to migrate
- Whether an outside billing company also needs access
